Privacy Policy

In short: PropertyProof stores everything on your device. We operate no servers, there are no accounts, and we never receive your inspections, photos, signatures, or reports. No analytics, no advertising, no tracking.
PropertyProof (“the app”, “we”, “us”) helps landlords, property managers, and inspectors document the condition of a property. This policy explains what the app stores, what it never collects, and the choices you have. By using the app you agree to this policy.
1. Information the app stores on your device
Everything you create is written to the app’s private storage on your device:
- Property and project details — names, addresses, reference numbers, and notes you enter.
- Photos — images you capture with the camera or import from your photo library or files, plus any captions and on-photo markups you add.
- Inspection records — checklist items, condition ratings, issue flags, severities, and dictated or typed notes.
- Signatures — the handwritten signature drawn in the app, with the signer’s name and role.
- Your profile — the inspector name, and optionally your business name, contact details, and logo used on reports.
- Generated PDF reports and your app preferences.
2. Information we collect
None. PropertyProof has no user accounts, no sign-in, and no backend service. The developer cannot see your data, cannot recover it, and receives no analytics, diagnostics, crash reports, or usage statistics from the app.
3. Device permissions
The app asks for a permission only when you use the feature that needs it, and every one is optional:
- Camera — to take inspection photos.
- Photo library — to import photos you choose.
- Microphone and speech recognition — to dictate short notes. Dictation is transcribed on your device. No audio recording is kept, and no audio is sent to us or to any transcription service.
- Location — only if you switch on location capture. When enabled, the app records the coordinates where a photo was taken or an inspection was started, and stores them with that record on your device.
Declining a permission only disables that one feature. The rest of the app keeps working.
4. Photo metadata
Original photos are stored exactly as your camera or photo library provided them, which can include metadata such as the time taken and, if your camera saves it, GPS coordinates. Photos placed into a generated PDF report are re-encoded, and that embedded metadata is removed. Location coordinates appear in a report only if you have explicitly enabled the option to include them.
5. Device backup
So that losing or replacing your phone does not destroy your work, PropertyProof’s data is included in the encrypted device backup you have configured with Apple — iCloud Backup, or an encrypted computer backup. That backup is handled entirely by Apple under Apple’s privacy policy, and PropertyProof has no access to it. You can exclude the app from iCloud Backup in your device settings, but if you do, uninstalling the app or losing the device will permanently delete your inspections.
6. When data leaves your device
Your data leaves the device only when you deliberately send it somewhere, by:
- sharing a generated PDF through the iOS share sheet, where you choose the destination;
- saving a report to the Files app or another location you pick;
- printing a report.
Once you send a report somewhere, this policy no longer governs it — the receiving service’s terms and privacy policy apply.
7. Retention and deletion
Your data stays on your device until you delete it. You can remove individual photos and signatures in the app, and Settings includes an option to permanently delete all local PropertyProof data. Deleting the app also removes its data from your device. Because we never receive your data, there is nothing for us to delete or return, and we cannot recover anything you delete.
8. Other people’s information
Inspections often include details about tenants or other people — a name, a contact email, a signature, or photos of their home. You are responsible for handling that information lawfully, including obtaining any consent required where you operate and meeting any data-protection obligations that apply to you as the person collecting it. PropertyProof is a tool you control; we are not a party to those records.
9. Children
PropertyProof is a tool for property professionals and landlords. It is not directed at children and does not knowingly collect information from them.
10. Changes to this policy
If this policy changes, the updated version is published at this address with a new date above. Material changes are also noted in the app’s release notes.
